To demonstrate how you may benefit from our services, and further illustrate
the type of support that we offer, we have provided the following sample questions:

    Sample Question:
    eStamps is going out of business. Is electronic postage still viable for SOHO businesses? If so, what companies are still offering the service and at what
    point does a postage machine become a more effective option?

    Answer:
    For companies that have simple mailing needs (less than 20 pieces per day),
    we feel electronic postage is still viable. Other companies that offer this service
    are Stamps.com (excellent choice)for $15.99/mos, Simply Postage (Neopost)
    and ClickStamps Online (Pitney Bowes). Once your volume increases to more
    than 25 - 30 pieces per day it is our experience that a postage meter is more applicable.

    Sample Question:
    We process approximately 3,500 first-class automation letters and 5,000
    first-class automation flats daily in one of our one site units. We are having
    many problems with the Pitney Bowes Paragon II in that the flaps are not
    always sealing properly and "especially" when we process flats they tend to
    wabble down the track causing the meter indicia to, in many cases, fail to print properly thus necessitating a reprint of postage (usually in the form of tapes).
    In light of the many variable sizes and thickness of envelopes (many with
    different flaps) and lost postage I have to believe that there are other metering manufacturers that offer better equipment and service than Pitney Bowes.
    Considering the high volume and variety of mail we process is there a
    company out there that provides better equipment and service at a better cost?

    Answer:
    We are not surprised to hear of the sealing problems with your Paragon II, it is
    a common complaint with the piece of equipment you are utilizing. If you are
    not already using the Pitney Bowes sealing fluid, you may want to try it. In
    regards to other postage equipment on the market you have three other
    choices: Ascom Hassler, Neopost and Francotyp-Postalia. Ascom & Francotyp
    are sold by dealers with Neopost being a direct seller of their equipment. For
    your volume, we would recommend Neopost. They make excellent equipment
    and their prices (equipment and service) are much more competitive then Pitney Bowes. An excellent avenue to see and run this equipment is Mailcom. We
    would suggest taking a sample of the type of mail you run (flats) and having the different vendors run it through their equipment to test their sealing capabilities. Another avenue would be an onsite trial, which I am sure any of the above
    vendors would be willing to do. Note: The illegible meter stamps may be
    refundable. They need to be submitted to the Post Office within 1 year from the
    date shown on the stamp. There is a handling charge, but it is limited to 10% of

    What are the advantages of a cost-per-copy lease for a company? Answer:
    Cost-per-copy leases are advantageous for a company under the following
    scenarios: When there are a variety of models placed with a mixture of high
    and low volume machines. This allows you to balance acquisition, service and
    supply costs between models with a lower operating cost and models with a
    higher operating cost. Also a cost-per-copy plan should provide some flexibility (upgrade, downgrade, and deletions). Some key points to keep in mind when
    you acquire equipment on this type of plan: Negotiate a cost per copy price for
    slightly below the minimum number of impressions you produce in an average
    month. For the overage (anything above the minimum) the cost per copy should
    be lower because the vendor has covered the cost of the equipment and the
    base service in the minimum number. A good target is the overage should not
    exceed 20% of the minimum cost per copy.

    Other Sample Questions:
    I want to purchase three new copiers for my office. I have heard a lot
    about digital copiers lately. What is the difference between digital and
    what I currently have? Are they more expensive and what are the benefits?

    As the Records Manager, I have been recently told to cut my department's
    expenses. I definitely cannot reduce my staff. The other large expense I
    have is offsite storage. Our firm does not have a retention policy so I cannot
    throw away files. What options do I have?

    Our supply usage is out of control! Do you have any recommendations for
    a supplier who is cheap?

    My office currently uses a chargeback system. When I run the
    end-of-the-month reports, the cost of telephone calls we capture are
    much lower than the actual telephone bill. Why is this happening and how
    do we fix it?

    Our mailroom has been using Federal Express for all our deliveries. Besides
    UPS, what other companies should we look into? What is the best way to
    compare rates?

    Our copiers frequently jam. The service person suggested we use better
    paper. I placed a few calls to supply salespeople and I am now inundated
    with information. What is your recommendation for paper?

    My copier vendor frequently tries to get me to upgrade my copier and sign
    a new lease. My old one is running fine and I still have twenty months to
    go on my lease. Should I upgrade?

    I want to purchase a color copier but when I look at the prices I hesitate.
    Based on my volume, should I purchase one?

    Does outsourcing really work? Am I better off keeping my operations
    in-house?
